Acceptance of Terms – By confirming any booking with Williams Travel Plus (“Agency”), you (“Client”) acknowledge and agree that your reservation is subject to both these Terms and Conditions and the terms, conditions, policies, and contractual obligations of each vendor, supplier, or third‑party provider involved in delivering your travel services. This includes, but is not limited to, airlines, cruise lines, resorts, hotels, tour operators, ground transportation providers, car rental companies, insurance carriers, and other travel‑related service entities. 

Acceptance of Agency’s Terms shall be deemed simultaneous acceptance of all applicable vendor and supplier terms, regardless of whether you have reviewed them in detail. Agency will provide vendor‑specific policies upon request; however, it remains the sole responsibility of the Client to review, understand, and comply with all applicable rules, restrictions, cancellation policies, refund procedures, liability limitations, and conditions of carriage or participation prior to travel. 

By proceeding with a booking, Client represents that they are at least 18 years old, have legal capacity, and are authorized to accept these Terms on behalf of themselves and all travelers included in the booking, including minor travelers. Client consents to the use of electronic signatures and electronic delivery of notices, itineraries, invoices, and disclosures. 

The version of these Terms in effect on the date of booking governs the applicable reservation; subsequent updates apply prospectively to later bookings. In the event of a conflict, supplier terms govern the supplier’s delivery of services, while these Terms govern Agency’s advisory services, fees, limitations of liability, and dispute procedures. 

Failure to adhere to vendor or supplier requirements may result in denied boarding, forfeiture of funds, loss of services, or other penalties, for which Agency bears no responsibility. By proceeding with a booking, Client expressly releases Agency from liability arising from Client’s failure to comply with any vendor or supplier’s contractual obligations. 

Role of Agent and Advisor – Williams Travel Plus (“Agency”) acts solely as an agent and advisor for the Client in arranging travel services. Agency does not own, operate, or control any airline, cruise line, hotel, resort, tour operator, ground transportation provider, car rental company, insurance carrier, or other travel‑related supplier (“Suppliers”). All travel services are provided by independent Suppliers who are solely responsible for their products, services, schedules, and performance. 

Agency’s role is limited to facilitating reservations, providing advisory services, and transmitting payments to Suppliers on behalf of the Client. Agency makes no guarantees or warranties, express or implied, regarding Supplier services, availability, pricing, or performance. Any representations regarding Supplier offerings are based on information provided by the Supplier and are subject to change without notice. 

Client acknowledges that Agency is not liable for Supplier acts, errors, omissions, delays, defaults, insolvency, overbooking, schedule changes, cancellations, strikes, natural disasters, pandemics, or other events beyond Agency’s control. Client agrees that any claims or disputes arising from Supplier services must be pursued directly with the Supplier. 

Agency may provide advisory recommendations, travel tips, or destination information as a courtesy; however, such guidance is not a guarantee of safety, suitability, or satisfaction. Client remains responsible for verifying travel documentation requirements, health advisories, entry restrictions, and personal suitability for travel. 

By engaging Agency’s services, Client expressly releases Agency from liability for Supplier performance and agrees that Agency’s responsibility is limited to the advisory and booking services it directly provides. Agency’s Errors & Omissions insurance, if applicable, covers only Agency’s own professional negligence and does not extend to Supplier defaults or failures. 

Legal Disclosures for Advisors – All advisors affiliated with Williams Travel Plus (“Agency”) operate either as independent contractors or employees under Agency policy. Advisors act solely in their capacity as travel advisors and booking agents. They are not legal representatives, partners, joint venturers, or agents of any vendor, supplier, or third‑party travel provider, and have no authority to bind such entities. 

Advisors are required, at the time of booking, to disclose any known limitations, risks, vendor‑specific conditions, or contractual obligations that may materially affect the Client’s travel experience. Such disclosures may include, but are not limited to: cancellation penalties, refund restrictions, blackout dates, eligibility requirements, health or safety advisories, and other vendor‑imposed terms. 

Agency and its advisors are legally obligated to provide accurate information regarding known risks or advisories; however, such disclosure shall not be construed as an assumption of liability. Responsibility for compliance with vendor or supplier terms rests solely with the Client. 

Agency shall not be held liable for any loss, injury, delay, inconvenience, financial impact, or disruption of services that may occur—even if such risks were disclosed in advance—because Agency does not own, operate, manage, or control the conditions, performance, or outcomes of third‑party services, destinations, or providers. 

By engaging with Agency, Client expressly acknowledges and accepts that advisors’ role is limited to advisory and booking functions. All risks, obligations, and liabilities associated with the actual provision of travel services remain with the vendor or supplier delivering those services. Client agrees that any claims or disputes arising from Supplier services must be pursued directly with the Supplier. 

Booking Requirements – To confirm any booking with Williams Travel Plus (“Agency”), travelers must provide accurate legal names exactly as they appear on government‑issued identification (e.g., passports, driver’s licenses, REAL ID cards, or other official documents). Any discrepancies between the name provided and the traveler’s identification may result in denied boarding, cancellation, or additional fees, for which Agency assumes no responsibility. 

Travelers must also provide valid documentation required for travel, including proof of U.S. residency when applicable. Agency is authorized to book travel services exclusively for U.S. residents, and proof of residency may be requested at any time prior to or during travel. Travelers are solely responsible for ensuring that all required travel documents (passports, visas, vaccination records, entry permits, REAL ID‑compliant identification for domestic flights, etc.) are valid and current. 

Payment must be submitted in full by the deadline specified in your invoice, confirmation, or payment schedule. Failure to remit payment on time may result in automatic cancellation, forfeiture of deposits, imposition of vendor penalties, or additional fees as determined by the supplier. 

By proceeding with a booking, Client acknowledges that it is their sole responsibility to ensure the accuracy of all personal information, documentation, and timely payment. Agency shall not be held liable for any loss, denial of service, or financial impact resulting from inaccurate traveler information, incomplete documentation, or missed payment deadlines. 

Pricing and Payment Terms – All pricing provided by Williams Travel Plus (“Agency”) is subject to change until full payment has been received and processed. Quotes are based on current rates, availability, and vendor policies at the time of inquiry and are not guaranteed until payment is confirmed. Travelers acknowledge that external factors—including, but not limited to, currency exchange fluctuations, fuel surcharges, government taxes or fees, vendor adjustments, and market conditions—may affect final pricing. 

Deposits and partial payments secure a reservation but do not lock in final pricing unless expressly stated in writing by the vendor. Final payment deadlines must be met in accordance with your invoice or confirmation notice. Failure to remit payment in full by the specified deadline may result in automatic cancellation, forfeiture of deposits, imposition of vendor penalties, or loss of reservation. 

Payments may be made by credit card, debit card, or other approved methods. By authorizing payment, Client agrees to Agency’s Terms and Conditions. Payments are also subject to the Cancellation and Change Policy, which may include non‑refundable agency fees separate from supplier penalties. 

Agency shall not be held liable for price increases, cancellations, or loss of services resulting from missed payment deadlines or changes imposed by vendors or suppliers. By proceeding with a booking, Client expressly accepts responsibility for timely payment and acknowledges that pricing is not guaranteed until full payment is received. 

Cancellation and Change Policy – Williams Travel Plus (“Agency”) may impose a non‑refundable cancellation or change fee, which may be assessed in addition to any penalties, fees, or restrictions imposed by the vendor, supplier, or third‑party provider. If applicable, the Agency fee will be disclosed to the Client at the time of cancellation, modification, or rebooking. 

All requests for cancellation or changes must be submitted in writing (via email or signed document) to ensure proper documentation. Requests made verbally or outside of written channels will not be considered valid. 

Refunds are not guaranteed and remain subject to vendor or supplier approval, processing timelines, and applicable policies. Certain bookings may be designated as non‑refundable, non‑transferable, or subject to strict cancellation penalties, including but not limited to airfare, cruise fares, promotional packages, or special event reservations. 

By agreeing to this Cancellation and Change Policy, Client expressly agrees to comply with the vendor’s cancellation and change terms, which may vary by supplier and are binding upon the traveler. Agency shall not be held liable for any denial of refund, forfeiture of funds, or penalties resulting from vendor or supplier policies. 

Client acknowledges that any Agency cancellation/change fee, if imposed, is separate from and in addition to supplier‑imposed penalties, and that any such Agency fee is non‑refundable once assessed. 

Credits and Refunds – Refunds are not guaranteed and remain subject to the policies, approval, and processing timelines of the vendor, supplier, or third‑party provider. Certain bookings may be designated as non‑refundable, non‑transferable, or subject to strict cancellation penalties, including but not limited to airfare, cruise fares, promotional packages, or special event reservations. 

In cases where a refund is not available, suppliers may issue future travel credits. Credits are subject to the terms, conditions, and expiration dates established by the supplier and cannot be altered by Williams Travel Plus (“Agency”). Credits may be limited to the original traveler(s), destination, or travel dates, and may not be transferable. 

Agency shall not be held liable for any denial of refund, forfeiture of funds, or restrictions associated with credits. By proceeding with a booking, Client acknowledges that refunds and credits are controlled by the supplier and not by Agency, and that Agency’s role is limited to assisting with the submission and communication of requests. 

Any Agency cancellation/change fee, if imposed, is separate from and in addition to supplier‑controlled refund or credit policies and is non‑refundable once assessed. 

Force Majeure and Acts of God – Williams Travel Plus (“Agency”) shall not be held liable for any disruptions, cancellations, delays, financial losses, or inability to perform services resulting from circumstances beyond our reasonable control. Such events, commonly referred to as force majeure, include but are not limited to: natural disasters (hurricanes, earthquakes, floods, fires), pandemics or public health emergencies, acts of terrorism, war or civil unrest, government‑imposed travel restrictions or advisories, airline or transportation strikes, vendor or supplier insolvency, labor disputes, mechanical failures, severe weather conditions, or any other extraordinary event that prevents the fulfillment of travel arrangements. 

These events may occur suddenly and without warning, and they may materially impact your travel plans, including cancellations, rescheduling, or loss of services. Agency assumes no responsibility for any resulting inconvenience, loss of funds, or inability to travel. All remedies, refunds, or credits in such circumstances are subject exclusively to the policies of the vendor or supplier providing the affected services. 

Agency strongly recommends the purchase of comprehensive travel insurance to safeguard your investment against unforeseen circumstances, including those arising from force majeure events. It is the traveler’s responsibility to review and understand the coverage, exclusions, and claims procedures of any insurance policy purchased. 

Travel Insurance – Williams Travel Plus (“Agency”) strongly recommends the purchase of comprehensive travel insurance to protect against unforeseen events, including but not limited to: trip cancellation, trip interruption, medical emergencies, evacuation, lost or delayed baggage, supplier default, natural disasters, and other covered risks. 

Insurance coverage, benefits, exclusions, and claims procedures vary by provider and policy. It is the Client’s responsibility to review and understand the terms of any policy selected. 

Clients who elect to decline insurance coverage must sign a Travel Insurance Decline Waiver prior to the final payment deadline. Failure to submit a signed waiver may result in cancellation of the booking, forfeiture of deposits, or denial of services. By declining coverage, Clients expressly acknowledge and accept that they may incur financial loss, medical expenses, or other costs for which Agency bears no responsibility. 

Destination Risk and Responsibility – Williams Travel Plus (“Agency”) does not own, operate, or control any aspect of the destination environment and therefore shall not be held liable for any loss, injury, illness, delay, inconvenience, financial impact, or disruption of services resulting from conditions present at or arising within the destination. All risks inherent to travel—including those disclosed in advance or unforeseen—remain the Client’s responsibility. 

Clients remain solely responsible for complying with all entry requirements, visa regulations, vaccination mandates, and government‑imposed conditions applicable to their destination. Agency will assist in identifying and communicating these requirements, but the duty to follow and satisfy them rests with the Client. 

All risks inherent to travel—including those disclosed in advance or unforeseen—remain the Client’s responsibility. Agency strongly encourages Clients to review official government travel advisories, health and safety notices, and destination‑specific requirements prior to departure.

Clients are advised to exercise caution, make informed decisions, and consider purchasing comprehensive travel insurance to protect against unexpected events or conditions encountered during their trip. 

Data Privacy – Williams Travel Plus (“Agency”) collects, stores, and processes personal information solely for the purpose of facilitating travel arrangements and related services. This information may include, but is not limited to: legal names, contact details, payment information, travel preferences, passport or visa details, residency documentation, and emergency contact information. Such data is used exclusively to secure reservations, issue confirmations, process payments, and communicate essential travel details. 

Agency does not sell, lease, or disclose personal information to third parties except as required to complete bookings with vendors and suppliers (e.g., airlines, cruise lines, hotels, tour operators, insurance providers, and transportation companies). Any disclosure is limited to the information necessary for the vendor to deliver the contracted service. 

All personal data is handled in accordance with applicable U.S. privacy laws and industry standards. Information is stored securely, with access restricted to authorized Agency personnel who require such access to perform their professional duties. 

While Agency implements reasonable safeguards to protect Client data, no system is entirely immune from risk. Agency shall not be held liable for breaches or disclosures arising from vendor systems, third‑party platforms, or events beyond its control. Clients acknowledge and accept these inherent risks when engaging Agency services. 

Residency Requirement – Due to licensing, regulatory, and contractual restrictions, Williams Travel Plus (“Agency”) is authorized to book travel services exclusively for Clients who are legal residents of the United States. By engaging Agency services, Clients represent and warrant that they are legally permitted to enter into binding contracts under the laws of their state of residence. 

All travelers must provide valid U.S. government‑issued identification (such as a passport, driver’s license, or state ID) and accurate U.S. contact information at the time of booking. Proof of residency may be requested at any stage of the booking process, prior to travel, or upon vendor request. 

Agency reserves the right to decline, suspend, or cancel any booking that does not meet residency requirements or where documentation provided is incomplete, inaccurate, or unverifiable. Any resulting penalties, loss of funds, or denial of services due to non‑compliance shall be the sole responsibility of the Client. 

By proceeding with a booking, Clients expressly acknowledge and accept that residency verification is a condition of service, and that failure to comply may result in cancellation without refund, forfeiture of deposits, or denial of travel services by vendors or suppliers. 

All bookings are governed by the laws of the Commonwealth of Pennsylvania, United States, without regard to conflict‑of‑law principles. Clients acknowledge that any disputes arising from or related to Agency services shall be subject to the jurisdiction of Pennsylvania courts. 

Chargebacks and Dispute Resolution – By booking travel services through Williams Travel Plus (“Agency”), Clients expressly agree to resolve any billing concerns, disputes, or service issues directly with Agency and/or the applicable vendor or supplier prior to initiating a chargeback with their financial institution. Agency is committed to assisting Clients in good faith and will provide all necessary documentation to support legitimate charges, including invoices, confirmations, receipts, and vendor policies. 

Payment by credit card requires completion of a separate authorization form, which constitutes the Client’s consent to charges as outlined therein. Any chargeback initiated without first engaging Agency in dispute resolution shall be deemed unauthorized. Unauthorized chargebacks may result in the immediate cancellation of services, forfeiture of funds, denial of future bookings, and recovery of costs incurred by Agency in defending against the chargeback. 

Agency takes disputes seriously and strives to resolve them professionally, promptly, and fairly. Resolution may involve coordination with vendors, suppliers, or financial institutions, but ultimate responsibility for refunds, credits, or remedies rests with the vendor or supplier providing the travel service. 

By proceeding with a booking, Clients acknowledge that Agency’s role is limited to facilitation and documentation, and they agree to abide by this dispute resolution process. 

Travel Documentation – It is the sole responsibility of the Client to obtain, maintain, and present all required travel documents necessary for entry, transit, and return to their destination(s). Such documentation includes, but is not limited to: valid passports (with at least six months’ validity beyond the completion of travel), visas, entry permits, vaccination records, residency documentation, and any other government‑issued identification or health certifications required by airlines, cruise lines, tour operators, or destination authorities. 

For domestic air travel within the United States, Clients must present REAL ID‑compliant identification beginning May 7, 2025, in accordance with federal law. Clients are responsible for ensuring compliance with all applicable entry requirements, including visa restrictions, vaccination mandates, and customs regulations. 

Williams Travel Plus (“Agency”) does not assume liability for denied boarding, refusal of entry, deportation, delays, or financial losses resulting from incomplete, invalid, expired, or inaccurate documentation. All costs associated with failure to obtain proper documentation—including cancellation penalties, forfeited funds, or additional expenses—shall be borne exclusively by the Client. 

By booking through Agency, Clients expressly acknowledge and accept that documentation requirements are subject to change by government authorities and vendors, and that it is their responsibility to remain informed and compliant prior to and during travel. 

Health & Fitness Acknowledgment – Clients are responsible for ensuring that they are medically fit to travel and that they comply with all vaccination, health, and safety requirements imposed by vendors, destinations, or government authorities. Williams Travel Plus (“Agency”) shall not be held liable for denied boarding, refusal of entry, or medical complications arising from failure to meet health requirements. 

Clients are strongly encouraged to consult with a medical professional prior to departure, particularly if they have pre‑existing conditions, mobility limitations, or require special accommodations. Certain destinations, cruise lines, or tour operators may impose restrictions based on age, health status, or vaccination compliance.  

All costs associated with failure to meet health requirements—including cancellation penalties, forfeited funds, or medical expenses—shall be borne exclusively by the Client. 

 

 

Special Needs & Accessibility – Clients with mobility limitations, medical conditions, or special needs must disclose such requirements to Williams Travel Plus (“Agency”) at the time of booking. While Agency will make reasonable efforts to communicate these needs to vendors, accommodations are subject to vendor availability and policies. 

Agency does not guarantee accessibility or special services and shall not be liable for denial of services or limitations encountered during travel. Clients are responsible for confirming directly with vendors whether accommodations (such as wheelchair access, dietary restrictions, or medical support) can be met. 

Any additional costs associated with special services are the sole responsibility of the Client. 

Group Booking Guidelines – For all group bookings facilitated by Williams Travel Plus (“Agency”), the designated lead traveler or group coordinator shall serve as the primary point of contact and is responsible for communicating all booking details, requirements, and updates to participants. This includes, but is not limited to: arrival and departure times, airport transfers, room assignments, itinerary changes, payment schedules, and vendor‑specific conditions. 

All group logistics must be coordinated in advance of travel to ensure accuracy and compliance with vendor policies. Agency will provide group‑specific advisories, booking instructions, and documentation to assist the lead traveler in managing participant expectations and responsibilities. 

Additional fees, penalties, or adjustments may apply in the event of:  

• Separate or staggered arrivals/departures outside the group itinerary.  

• Late additions or substitutions of travelers after the booking deadline.  

• Last‑minute changes to rooming lists, transfers, or activity participation.  

• Failure to comply with vendor group policies or minimum requirements. 

Agency shall not be held liable for miscommunication within the group or for any participant’s failure to adhere to the agreed itinerary, payment deadlines, or vendor terms. By proceeding with a group booking, the lead traveler and all participants expressly acknowledge that responsibility for internal communication and compliance rests with the group itself, and that all risks, penalties, or losses arising from deviations are borne by the travelers. 

Website Use & External Links Disclaimer - Williams Travel Plus (“Agency”) makes reasonable efforts to ensure that the information presented on its website is accurate and up to date. However, Agency does not guarantee the accuracy, completeness, or currency of any website content and shall not be held liable for any loss, damage, or inconvenience arising from the use of—or inability to use—any information published on its website. 
Clients and website visitors who choose to rely on any information found on the website do so strictly at their own risk. 

To the fullest extent permitted by law, Agency disclaims all liability for any loss, damage, or inconvenience resulting from reliance on website content, website outages, errors, or inaccuracies. 

The Agency website may contain links to external websites for informational purposes. Williams Travel Plus is not responsible for the content, availability, policies, or practices of any third‑party or externally linked websites, and such links do not constitute an endorsement of any kind. Agency has no control over external websites and assumes no liability for their content or use. 

Limitation of Liability – Williams Travel Plus (“Agency”) shall not be held liable for any acts, omissions, errors, delays, or failures of vendors, suppliers, or third‑party providers, including but not limited to: schedule changes, missed connections, denied boarding, cancellations, service interruptions, or losses arising from force majeure events. Clients acknowledge that vendors and suppliers are solely responsible for the performance and delivery of their services, and that Agency has no control over such outcomes. 

Agency shall not be responsible for any indirect, incidental, special, punitive, or consequential damages, including but not limited to: loss of enjoyment, emotional distress, lost wages, lost profits, or additional expenses incurred as a result of vendor actions, destination conditions, or unforeseen events. 

The maximum liability of Agency, under any circumstance, shall be strictly limited to the total amount of agency fees actually paid to Agency for the booking in question. No additional compensation, reimbursement, or damages shall be owed beyond this amount, regardless of the nature of the claim. 

Clients are strongly encouraged to review vendor liability policies and to purchase comprehensive travel insurance for additional protection against risks, losses, or expenses not covered by Agency or vendor terms. 

Client Responsibility - Clients are solely responsible for providing accurate information, complying with all requirements, and communicating obligations to all participants listed on a booking. This includes, but is not limited to, timely payments, valid documentation, adherence to vendor policies, and observance of deadlines. Agency shall not be liable for losses, penalties, or cancellations resulting from Client’s failure to fulfill these responsibilities. 

 

Amendments – Williams Travel Plus (“Agency”) reserves the right to update, modify, or amend these Terms & Conditions at any time. The version in effect on the date of booking shall govern that booking. Clients are responsible for reviewing the most current version prior to confirming reservations. Updates may be communicated through the Agency’s website, email notices, or booking documentation. 

 

Acknowledgment of Terms – By submitting payment, signing documentation, or confirming a booking with Williams Travel Plus (“Agency”), Clients expressly acknowledge that they have read, understood, and agreed to all terms and conditions set forth herein. These terms are binding upon all travelers listed on the booking, regardless of whether each individual has personally reviewed the agreement. 

Acceptance of these terms constitutes a legally enforceable agreement between the Client(s) and Agency, and governs all advisory, booking, and facilitation services provided by Agency. 

Failure to adhere to these terms may result in cancellation of services, forfeiture of funds, denial of future bookings, or other remedies available under law or vendor policy. 

 

Governing Law & Jurisdiction – These Terms & Conditions, and any disputes arising from or related to services provided by Williams Travel Plus (“Agency”), shall be governed by and construed in accordance with the laws of the Commonwealth of Pennsylvania, United States, without regard to conflict‑of‑law principles. 

Clients agree that the exclusive venue for any legal action or proceeding shall be the state or federal courts located within Pennsylvania. By engaging Agency’s services, Clients expressly submit to the personal jurisdiction of such courts and waive any objection to venue or forum on grounds of inconvenience or otherwise.
